Check your storage in the More options menu, and free it up by clearing out big projects.
A project uses as much storage as its size, images, video, and audio included. How much you’ve used is always in the ⋯ More options menu at the top. When it fills up, delete big projects to make room.
Check your usage
-
Look in the More options menu
At the right of the top bar, click the ⋯ More options button. The Storage usage row shows the percentage you’ve used at its right end, or the ∞ sign when your account has no limit.
-
Click the Storage usage button
Once you pass 80%, a Storage usage button with your percentage appears in the top bar. It’s amber at first and turns red from 95%. Click it to see how much you’ve used out of your total, along with Projects and Max per file.
-
See the details in Settings
Click the Storage usage row in the More options menu, or Manage in settings in the button’s window. Storage opens on the Settings page, with your usage and your Largest projects.
Whose space team projects use
Projects in your personal team use your storage. Projects in a shared team use the storage of that team’s owner, whoever made them.
So a team owner’s usage includes every project in the team, and projects you make in someone else’s team don’t count toward yours. Projects under the Storage usage button is counted the same way.
The editor’s Upload check window also goes by the space left for the owner of the team the project is in. When that space is full in a team you don’t own, ‘This team’s storage is full. Let the team owner know.’ appears.
When storage fills up
When your usage passes 80%, a notice appears, and past 95%, you’re warned once more.
When you add images, video, or audio in the editor, the Upload check window stops a file bigger than Max per file, and Continue can’t be clicked. The same happens when the files are bigger than the space left. When your storage is full, ‘Your storage is full. Delete projects you no longer need to upload again.’ appears, and no new files can be added. Click How to free up space in the window, and the guide opens at Free up space. Images, video, and audio covers what you can do in this window.
Pictures that go in without this window (the ones in an imported PowerPoint or PDF, an image an AI app you connected adds) aren’t saved when your storage is full, and a notice says so.
A .sshow file you upload as a new project is stopped too when it doesn’t fit, with ‘This upload would exceed your storage quota by …’. Work with projects shows how to upload one.
The projects you already have stay as they are, and you can still open and play them.
Free up space
Find the big projects, download what you want to keep, and delete what you no longer need.
-
See your largest projects
Look at Largest projects under Storage in Settings. Your five largest projects are listed with their sizes, and Open opens one in the editor.
-
See a project’s size
In Studio, click ⋯ › Settings on a project card. On the General tab, File size shows how much space the project uses. Projects with lots of images, video, or audio are the biggest.
-
Download what you want to keep
Before you delete anything, download the projects you want to keep with ⋯ › Download .sshow on the card. You can upload the file again later with New project › Upload .sshow file.
-
Delete what you don’t need
Click ⋯ › Delete on the card and confirm. Your usage drops right away by the size of that project. Work with projects shows how to delete several at once.
A deleted project can’t be brought back
Deleting a project removes it right away. There’s no trash and no way to undo it. Before you delete to make room, download anything you want to keep with Download .sshow.
Ways to use less space
Upload images as WebP. When you add images, keep Compress images to WebP before upload on in the Upload check window. Images upload smaller with the same look. If the WebP version would be bigger, the original uploads instead.
Trim a project from the inside. To make a project smaller without deleting it, delete the big images and videos it no longer uses in the editor. Once it saves, the project’s size drops by that much.
Duplicates take their own space. A copy made with ⋯ › Duplicate on the card uses as much space again as the original.
Limits
Besides storage, there are a few other limits, and the numbers can differ from account to account.
| Limit | What it counts | When you reach it |
|---|---|---|
| Storage | The total size of all the projects that use your space | The Upload check window stops a file bigger than the space left, and no new files can be added once it’s full. A .sshow file that doesn’t fit won’t upload as a new project. |
| Max per file | The size of one file you upload | The Upload check window stops that file. |
| Total projects | How many projects use your space | ‘Total project limit reached.’ appears, and you can’t make new projects. |
| Teams, spaces, and members | How many teams you can make, and the spaces and members in each | A message names the limit you reached, such as ‘Team has reached maximum member limit.’ |
| Collaborators and live editors | The people invited to a project, and the people editing it together | ‘Collaborator limit reached.’ or ‘Live collaboration is full for this project.’ appears. |
