Create a team, then split it into spaces.
When you work with other people, create a team, and inside it, use spaces to divide up your projects. Your personal team, which only you use, has no team settings.
Switch teams
-
Open the team menu
Click the team name at the top of the sidebar. The team menu lists your teams under ‘My personal team’, ‘Teams I own’, and ‘Teams I joined’, with your role in small type after each team name. On a phone, tap Spaces in the tab bar, then tap the team row at the top.
-
Choose a team
Choose the team you want. Its home page opens, and the sidebar’s spaces change to that team’s.
Create a team
Whether you can create a team depends on your account. If you can’t, ‘Failed to create team: This feature isn’t available on your account.’ appears.
-
Open the Create new team window
Click Create new team at the bottom of the team menu. New team in quick find opens the same window.
Clicking Create new team, typing a team name, and clicking Create a team opens the new team’s home page with ‘Default Space’. Video: Clicking the team name at the top of the sidebar and choosing Create new team opens the Create new team window. Typing a team name and clicking Create a team opens the new team’s home page, with Default Space in the sidebar. -
Name the team and create it
Type a Team Name, and add a Description (optional) if you like. Click Create a team, and the new team’s home page opens. The new team comes with one space called ‘Default Space’, and you become its owner. To bring teammates in, see Edit together.
Create a space
A team Viewer can’t create spaces. If the team owner has turned off Members can create spaces, a Member can’t either. The + button doesn’t show for people who can’t.
-
Open the Create new space window
Click the + button to the right of Spaces in the sidebar. In a team with no spaces yet, click Create your first space on the first screen. On a phone, tap Spaces in the tab bar, then Create a space.
Clicking the + next to Spaces, typing a name, and clicking Create a space opens the new, empty space. Video: Clicking the plus button next to Spaces in the sidebar opens the Create new space window. After typing a name and checking the visibility, clicking Create a space opens the new, still empty space. -
Name the space
Type a Space Name. You can’t reuse the name of another space in the same team.
-
Choose the visibility and create it
Visibility starts as the team’s Default Space Permission sets it. In your personal team, it’s Team (visible to all members). To hide the space from the team’s members and viewers, choose Private (creator, team owners and admins). Anyone given access to it can also see it. Click Create a space, and the new space opens.
Change or delete a space
Point at a space row in the sidebar, and a ⋯ button appears at its end. On a touchscreen it always shows, and on a phone, use the ⋯ next to the space’s title above its list. The menu has New project in this space, Space settings, and Delete space.
In the Space Settings window, change the name, description, visibility, and member permissions, then click Save Changes. With Members can create projects off, only the space’s creator and team admins can add projects. With Members can edit projects off, members can edit only the projects they made and the ones shared with them directly.
Click Delete space in the menu, and you’re asked once more, with a warning that it can’t be undone. Confirm, and the space and every project in it are deleted.
Who can change what in a space
| Setting | Who can change it |
|---|---|
| Name and description | The team owner, admins, and the space’s creator. If Members can edit spaces is on in the team settings, a Member can too. |
| Visibility | The team owner and the space’s creator. For anyone else the options are locked, and pointing at them shows ‘Only the space owner can change who can see it.’ |
| Member permissions | The team owner, admins, and the space’s creator. Other people don’t see this section. |
| Deleting the space | The team owner and the space’s creator. |
Change team settings
Choose Team settings in the team menu to open the Team Settings window. Your personal team’s menu doesn’t have it. The window has three tabs: General, Members, and Settings.
General
Change the Team Name and Description, and see how many members and spaces the team has. Changes apply when you click Save Changes. Only the owner and admins can change these. Everyone else sees ‘Only the owner and admins can change the team’s details.’
Members
Invite teammates with Invite Member, as Edit together shows. Under Current Members, change a person’s role from the role menu on their row, or remove them from the team with the × button. The owner manages everyone else, and admins manage members and viewers. With eight or more members, a search box appears. Changes on this tab apply right away, so the bottom of the window has only Close.
Several members at once
Select several people with the checkboxes on the rows you can manage, and a bar such as ‘2 selected’ shows Change role and Remove selected. Both ask you to confirm first. When you can manage two or more members, Select all appears too.
Pending invitations
Invitations not yet accepted show with the time left, such as ‘Expires in 5d’. An invitation stays open for 30 days. Resend invitation sends the email again and restarts the 30 days, and Cancel invite removes the invitation after you confirm.
Default Space Permission
Decides how new spaces in this team start. It’s at the top of the Settings tab, and the owner and admins can change it. With Private (creator, team owners and admins), a new space’s visibility starts as private. With Team View (members can view) or Team Edit (members can edit), it starts visible to the team. With Team View, the space’s Members can edit projects also starts off. Click Save Changes, and it applies to spaces created after that.
Member permissions
This section is on the Settings tab, and only the team owner sees it. With Members can create spaces off, only admins and the owner can create spaces. With Members can edit spaces on, members can also edit the name and description of spaces other people made. These apply only to people whose role is Member, and take effect when you click Save Changes.
Leave or delete a team
Use the Danger Zone at the bottom of the Settings tab in the Team Settings window. If you’re not the owner, it has Leave Team. Click Leave and confirm, and you can no longer reach the team’s spaces and projects, and you’re taken back to your personal team’s home page. Projects you made in that team stay with the team.
The owner sees Delete Team instead. Click Delete and confirm, and the team and all its spaces and projects are deleted. The owner can’t leave the team, and a personal team can’t be deleted.
Deleting a team or space deletes the projects in it
Deleted teams and spaces, and the projects inside them, can’t be recovered. Before deleting a space, move the projects you want to keep to another space. Projects can’t move to another team, so before deleting a team, download them as .sshow files, as Work with projects shows.
The four roles
A team member is an Owner, Admin, Member, or Viewer. The owner is the person who created the team, and admins invite and manage members. Members create spaces and projects, and viewers can only look. What each role can do is in the table in Edit together.
